Special Events








 

Definition

Special events are defined as activities that are not linked to the regular activities of a specific class offered by Fuller, nor to the regular administrative business of any Fuller office. 

Billing

There are two billing grids:

Tier I fees are applicable to departments within the Fuller Community with a Fuller Cost Center

Tier II fees are applicable to all groups outside the Fuller Community.

 

Making Requests 

Please make your request on the Master Calendar.

If you are having trouble creating your event on the Master Calendar, or need to make a change to an event that is already on the calendar, please send an email to atc-events@dept.fuller.edu

If you are planning an event for a future date and do not yet know what your technology needs will be, please select the item on the Master Calendar request form that reads: “ATC Needed – Details Pending”.  This will bring the event to the attention of the Special Events Coordinator for entry onto the ATC Event Calendar.  The Special Event Coordinator will then contact you to discuss the details of your event.

Event Planning for Large Events (Full day and Multi-day conferences) 

We know that planning the technology needs for a large event can often be overwhelming.  In order to help facilitate the planning for you and your group, we are providing a planning document here.  With this document you can make the requests you need for each session of your conference on one form, which you can then fax to 626.584.5226 or interoffice to Jenn Howard in ATC.  Further instructions for this form are on the first page of the document.

A copy of the detailed event schedule that your Event team will be using should also be forwarded to the ATC Special Events Coordinator at least 2 days before the event.

Policies

Late Fees: We require at least five (5) business days notice in advance of any event.  If a request for an event comes in 2-5 business days before an event, there will be a charge of $25 per item.  If a request for an event comes in for the same or next business day, there will be a charge of $35 per item.

Fuller Cost Center number or pre-payment MUST be received BEFORE the event begins in order to confirm the ATC technician and equipment.

There are two spaces on campus in which we do not permit the use of outside sound equipment: Travis Auditorium and Payton 101.  Any event scheduled in those spaces must use our technology.

Any event that is Medium or Large in size will require a technician to attend.

A Release Form must be signed by each person speaking during an event that is to be recorded.  Without the signed Release Form, the recordings must be destroyed.
